Email should serve you, not control you. Here's how to regain control of your inbox.
The Inbox Zero Method
Process every email to zero using these actions:
- Delete: Not relevant or needed
- Delegate: Forward to right person
- Respond: Takes less than 2 minutes
- Defer: Add to task list, archive email
- File: Archive for reference
Batch Processing
Check email 2-3 times daily at scheduled times:
- 10:00 AM - Morning check
- 2:00 PM - Midday check
- 4:30 PM - End of day check
Turn off notifications. Email is asynchronous - it doesn't need instant response.
The 4 D's
- Do it: If takes under 2 minutes
- Defer it: Schedule time to handle
- Delegate it: Forward to appropriate person
- Delete it: If not useful or actionable
Email Best Practices
- Unsubscribe ruthlessly from newsletters you don't read
- Use filters to auto-file routine emails
- Write clear subject lines
- Keep emails brief and action-oriented
- Don't use email as a to-do list
- Set expectations with auto-responder
